Custom client apps · Coaching & consulting

Custom client engagement apps, built for the way your programs actually run.

A custom client engagement app is software your coaching or consulting business owns outright, built around your program instead of around somebody else’s product roadmap. We build them for service businesses in Melbourne and across Australia, usually for the same reason: the platform you are renting almost fits, and the gap between almost and actually is where your clients fall out.

Fifty years of combined experience implementing systems that run real businesses, pointed at the one you need.

Fixed written quote before you commit · No per-seat fees · You own it outright

The real cost of almost

Software that almost fits costs more than you think.

You pay per client, so growing hurts

Per-seat and per-client pricing is the standard model in this category. It is comfortable at fifteen clients and it is a line item you resent at eighty. The better your business does, the more you pay for the privilege, and you never stop paying.

Your program bends to fit the tool

You built the program first. Then you found software that does most of it. Then, quietly, you changed the parts of your program the software could not handle. Most people do not notice this happening until they describe their process out loud to someone.

Clients disengage between sessions

They are engaged in the room with you. Then a fortnight passes. Generic platforms send generic reminders because generic is all they can send. The check-in that would actually work is the one shaped like your method, and that is the one you cannot configure.

It is their brand, their data, their roadmap

Your clients log into someone else’s product wearing a thin coat of your logo. Your data sits in their database under their terms. The feature you need most is on their roadmap, or it is not, and either way it is not your decision.

We map the program as it actually runs, not as the onboarding doc describes it.
The work

What we build.

Client apps for coaching and consulting programs

The thing your clients open between sessions. Structured around your actual method: your check-ins, your sequence, your language, your escalation when someone goes quiet. Branded as yours because it is yours.

Program delivery, end to end

Intake through to completion, running as one system rather than four tools and a spreadsheet holding hands. Onboarding, content release, progress, reporting, renewal.

The operational side nobody sees

Scheduling, records, billing hooks, reporting that answers the question you actually ask on a Monday. Built to the compliance rules you operate under, because compliance is a design input here, not a checklist at the end.

Integration with what you already run

You are not throwing out your accounting, your calendar or your CRM. We build the app to sit with them properly, which is usually the part that separates a system that holds from two apps connected by hope.

Three ways to solve this

The benefits of building your own custom web app.

Rent it, white-label it, or own it.

Grows with you Cost grows with clients Cost grows with clients Cost does not move
Fits your method Your method bends Mostly theirs Built to it
You own it No No Yes, outright
Best when You are testing the offer You want a fast, generic start The program is proven and the tool is the bottleneck

If your program is still moving every month, rent something. Genuinely. Come back when it stops moving. Building custom software around a process you are still inventing is how people waste money, and we will tell you that on the call rather than after the invoice.

Investment

What it costs.

Every build is custom, so naturally the quotes will vary. That is why we offer discovery calls: to chat through what you are thinking and give you some ideas on investment. Builds start from $5k for a simple app. Typically there are three things that move the number.

What moves the number
01

How much of the program it carries

One part of the program in your clients’ hands is a different job to intake through to completion. The smallest useful version is usually much cheaper than people assume, and it is where most builds start.

02

How many people it has to serve

You and your clients is one thing. Add staff, referrers, supervisors or a third party who needs their own view and permissions, and you are building a different system.

03

What it connects to, and what rules it answers to

Every system it has to talk to is real work. So is a regulated profession, where records and audit trails have to hold up later. Both are worth knowing before you get a number, not after.

How you find out yours

A free 45-minute call

We map what you are running now and what the app would have to carry. By the end you will know roughly where you sit, and whether we think you should build at all. No charge, no obligation.

Then a fixed written quote

Once we have scoped it properly, you get one number in writing before you commit to anything. Not a range that moves, not an estimate that grows. The number we write down is the number.

Funding

Your build may be R&D tax-incentive eligible.

The Australian Government’s R&D Tax Incentive helps companies recover part of what they spend developing new software. Eligible businesses under $20M turnover can claim back up to 43.5% of qualifying R&D spend. Not every build qualifies and we are not your accountant, but it is worth knowing before you decide the number is out of reach.

The process

How we build it.

1

We map the program as it actually runs

Not the version in your onboarding doc. The real one, including the bits you do manually because the software cannot. This is where most people find out their process has three steps nobody owns.

2

We design the system, then build the first working piece

Architecture first, then something real in your hands early. You use it with actual clients before we build the rest, which is how you find out what you actually needed.

3

We hand it over and stay reachable

You own the software outright. Code, data, the lot. We stay reachable because handover is not the same as goodbye, but you are never locked in.

Builds run anywhere from two weeks to six months, depending on the size of the app. You will know which end of that you are at before you commit.

Work we have built.

Built in-house · Multi-user health platform

DocBot: a complete family health platform.

This one is ours. We built DocBot in-house, end to end, which means we can show you all of it rather than the two screens a client agreed to release. Records, structured process, and a client-facing experience that holds together across the whole journey rather than stopping at the appointment. It keeps a whole family’s medical life in one place: conditions, medications, blood results with trend charts, documents, appointments and everyday symptom logging, alongside a full health profile for each person.

An AI assistant assesses logged symptoms against each person’s own health background, then raises health warnings and flags possible emergencies. It is built to surface concerns, never to diagnose.

DocBot screen listing every tracked health measure with trend lines and in-range status
Every tracked measure in one place, with trends and range status at a glance.
DocBot daily check-in screen with mood selection, symptom tags and vital sign fields
A daily check-in that takes seconds, and can be skipped without penalty.
DocBot follow-up screen asking for pain location, severity, readings and an optional photo
It goes deeper only when the answers call for it, down to location, severity and a photo.
DocBot emergency alert advising the user to seek emergency care, referencing their own clotting history
When symptoms meet personal history, it escalates and stays on screen until resolved.
34 screens Phone-first, and installable like a native app.
1,100+ tests Built and verified with the automated testing discipline professional software teams use.
4 services Secure login, cloud database, file storage and AI, connected and working together.
Real-time warnings An automatic health-warning system that surfaces urgent issues as they appear.
Fit

Who this is for.

Coaches, consultants and service businesses running a structured program, where the program is proven and the software is the thing holding it back. Usually somewhere past the point where per-client pricing started to sting.

It is not for you if the program is still changing shape every month, or if an off-the-shelf tool genuinely does the job. We will say so.

Before you ask us

Common questions.

How much does a custom client app cost?

Builds start from $5k for a simple app. From there, three things move it: how much of the program the app has to carry, how many people it has to serve, and what it has to connect to. After a free 45-minute call you get a fixed written quote, so you are never deciding against a range.

How long does a build take?

Anywhere from two weeks to six months, depending on the size of the app. Either way we build the first working piece early, so you are using something real with clients well before the whole thing is finished.

Do I actually own it?

Yes. Outright. The code, the data, the lot. You are not licensing it back from us and there are no per-seat fees, ever.

What if I already pay for a platform?

Most people do, and that is usually what starts the conversation. We map what you are using first, because sometimes the honest answer is that your current tool is fine and the problem is a process nobody owns.

Is a custom build worth it at my size?

Client numbers are the wrong measure. What matters is whether the business is built to scale, and what the app lets you put into your offer. A consultant with a handful of clients at a high price point can get more out of a custom app than someone with hundreds, because for them it is part of what they are selling rather than admin. That is the conversation we have on the call.

What happens to our data?

It is yours, it stays yours, and we build to the compliance rules you actually operate under rather than treating them as a checklist at the end. If you are in a regulated profession, tell us on the first call and it becomes a design input.

Can it work with the tools we already use?

Yes, and it usually has to. Integration with your existing accounting, calendar and CRM is normally part of the build rather than something bolted on afterwards.

What if we need changes later?

You own it, so you can change it, with us or with anyone. We stay reachable and will discuss your needs on a case-by-case basis. You are not locked in.

Let’s work out whether you should build at all.

45 minutes, no charge, and no obligation to go further. We will map what you are running now and tell you honestly whether a custom build is the right answer. Sometimes it is not.
